Shipping & Quarantine Info

At Koi Market, we strive to ensure your Koi arrive safely, in excellent condition, and ready to thrive in their new environment. To make the process smooth as possible, please review the following detailed policies and guidelines.

Shipping Methods

We primarily ship Koi using Southwest Cargo for fast and reliable delivery. In certain circumstances, we may use UPS as an alternative. Below is an overview of the benefits and considerations for each shipping method:

Southwest Cargo

Our preferred shipping method - for its reliability and safety.

Advantages:

  • Safe Handling: Your Koi box is securely placed on a pallet and remains untouched until it arrives at the destination airport.
  • Affordable Insurance: Insurance costs just $1.00 per $100 of the shipment's total value.
  • Cost-Effective Shipping: Lower rates compared to other methods, plus free shipping on orders of $700 or more.

Considerations:

  • Airport-to-Airport Service: Shipments require pickup at the designated airport.  We will work with you to determine the airport, based on the service offered by Southwest Cargo.  Note:  It’s not always possible to receive shipments from the nearest airport.
  • Flight Changes: Departure and arrival times may change due to unforeseen circumstances like mechanical issues or weather. We work closely with the airline to resolve delays but cannot control these situations.
  • Limited Availability: Southwest Cargo does not ship to all airports, so alternative airports or methods may sometimes be necessary.

UPS

Used when Southwest Cargo is unavailable.

Advantages:

  • Convenient delivery to most locations, making it an option when Southwest Cargo cannot be used.

Considerations:

  • Higher shipping and insurance costs compared to Southwest Cargo.
  • Increased handling during transit, which may introduce more risk to the shipment.

What to Expect When Your Koi Arrives

During their journey, Koi can experience stress that may temporarily affect their appearance and behavior. Here’s what you might observe:

  • Faded Color: Black color especially may lighten but will return over time.
  • Veiny Skin: Visible veins, particularly in the white areas of the skin.
  • Behavioral Changes: Fish may appear underactive (minimal movement) or overactive (jumpy). These behaviors are a response to stress and should subside with time.

Live Arrival Guarantee

We offer a Live Arrival Guarantee when shipping insurance is purchased. To qualify, please ensure the following:

  • Be Present at Delivery: You must accept the shipment and sign for it upon arrival.
  • Immediate Notification: Contact us within one hour of the documented delivery time at (516-809-6771) if there is an issue.
  • Proof of Claim: In the rare event a fish arrives deceased, please:
  1. Take a digital photo of the full fish with its tail removed.
  2. Email the photo to sales@koimarket.com within one hour of delivery.

If all requirements are met, we will replace the fish with one of equal value or provide a store credit if a replacement is unavailable. Shipping costs for the replacement are the customer’s responsibility.

Koi Gender

While we use our expertise to determine the sex of Koi, we cannot guarantee gender as even breeders can sometimes misidentify male and female Koi.

Unpacking and Acclimation Instructions

  • Open the box carefully, ensuring the fish bag is not punctured.
  • Keep the bags out of direct sunlight.
  • Float unopened bags in your quarantine tank or pond for 20–30 minutes to equalize temperature.
  • Open the bags, then gently transfer the fish using a clean net or hand (avoid transferring shipping water into your tank).

Quarantine Procedures

Although optional, we highly recommend quarantining your new Koi for a minimum of 30 days before introducing them to your pond.

  • Koi Fish Maintain water at 70°F or higher (82°F is ideal for healing).
  • Koi Fish Use 3–5 pounds of un-iodized salt per 100 gallons to maintain salinity.
  • Koi Fish Avoid mixing new fish with those from other farms or stores to prevent cross-contamination.
  • Koi Fish Cover quarantine tanks, as new fish may jump.
